How to choose a home automation integrator: 8 questions to ask before signing

Choosing the right partner for a luxury villa's automation: the eight questions that separate a real integrator from an installer in disguise.

The difference between automation that truly works and automation that becomes a burden does not depend on the system, but on the integrator who designs and maintains it. A luxury villa can host the most expensive product on the market and still work badly; or it can run a simpler system and work beautifully for fifteen years. The variable is the quality of the partner.

The problem, for anyone evaluating a supplier, is that from the outside it is hard to tell a real integrator from an installer with a polished website. Technical credentials matter but are not enough. What counts is the method. Eight questions, asked before signing, help understand who you are dealing with.

1. Can I see completed projects similar to mine?

Not generic photos, not renders, not stock imagery. Real, identifiable projects, with the integrator’s and client’s name — at least by region. A serious partner has a portfolio built over years and has no problem showing finished work or putting you in touch with previous clients if you ask for references.

If the portfolio is thin, very recent or full of generic subjects, that is a first signal. The luxury villa world is small: those who work well have a visible track record.

2. Who will handle design and who will handle programming?

These are two different jobs. Design draws the system, the platform choices, the pre-wiring, the network flows. Programming brings everything to life: scenes, commands, integrations, behaviours.

A real integrator has dedicated people for the two roles, with certified skills. If they answer that “we do everything ourselves” without distinguishing roles, you are probably dealing with an installer improvising both crafts.

3. What documentation will you deliver at handover?

This is the question that separates the serious ones from the chancers. A professional integrator delivers an updated system schematic, a pre-wiring map, programming documentation, passwords and access credentials, an owner’s guide and a maintenance plan.

Without documentation, any future change — even with the same integrator — costs more, because the lost context has to be rebuilt. If the villa changes hands or the integrator goes out of business, documentation is the only thing that saves the system.

4. Do you work alone or with other technical roles?

In an important villa, a single technical figure is not enough. You need coordination between the electrician, the audio-video integrator, the network and security specialist, possibly a cinema and wellness expert. A good integrator is used to working with these figures and has long-standing relationships with them.

If the answer is “we handle everything” without breaking down competencies, two scenarios are likely: either it is a structured group that is not explaining itself well, or they are underestimating the complexity. It is worth asking for clarification.

5. What happens if I need support in three years?

A home automation system lives ten to fifteen years. It is normal to need a service intervention over time: updates, fixes, new integrations, device replacements. The question is simple: what is the procedure, how quickly do you intervene, is there a maintenance contract, what hourly rates apply.

If the answer is vague or there is no clear protocol, the integrator likely sees your project as a one-off rather than a long-term relationship. For a luxury villa, this is a red flag.

6. Are you recommending this system, or do you offer others?

A serious integrator works with several systems and recommends one based on the project. If, regardless of context, you are always offered the same brand, it may genuinely be the right choice — but it may also be the only system the supplier knows well.

It is worth asking what other systems they master and why, in your specific case, they are recommending this one. If the rationale is consistent — fits the size, your habits, the integration required — it is a good sign.

7. Will you work with my architect and electrician?

A premium integrator never works in isolation. They interface with the architect, the electrician, the construction supervisor, possibly the interior designer. They know when to step in, what to ask and what to bring. When done well, they simplify everyone’s job.

If instead they try to take over the project or refuse to adapt to architectural decisions already made, it is a warning sign. Automation must serve the villa, not condition it.

8. Can I speak to a client whose installation has been running for at least 5 years?

This is the most powerful question. It shows how the integrator behaved not only during installation, but in the years that followed. All the real issues of a home automation system surface after the first two years: updates, ageing devices, changes in usage, switching service providers.

A serious integrator has long-standing satisfied clients and is happy to put you in touch. If, on the other hand, all the cited projects are recent, what is missing is exactly the test of time you care about.

The rule behind the questions

All eight questions serve one purpose: to understand whether the integrator treats your villa as a long-term commitment or as a single sale. That is the most important difference.

At NvisionGroup these eight questions are how we let ourselves be evaluated. Elysium handles systems design, Lastech the pre-wiring, Cinema in Casa the dedicated cinema rooms, GTS Casa the property coordination. Documentation is always handed over. The relationship continues past commissioning. It is the method we expect from a serious supplier when we are on the other side of the table.
